Sounds like price and distance is a big issue, which I understand. But you do get what you pay for and no matter where it is held there will always be people who are too far away. You can't please everyone. Anyhow...How much does each place charge? I know Windrock is 17, Durhamtown is 20 and Tellico is 5. What about the other parks that are suitable for a large event?

Well, we kind of had to know distance would be an issue with combining groups this spread out geographically. I say that this is not a reason we should feel negative about. Just a reason for us to set a date WAY in advance...like months. I personally would vote for either Tellico, D-Town or anywhere in Alabama. I think we should try to get an idea of a headcount, then vote on a DATE ( I would say minimum 3 months in advance if it's going to be big) maybe even summer. Then after a date has been decided, post tons of info on each and vote on a location.

1. Gather more info (I dont mind calling around, we could assign 2-3 spots to a couple people to get ALL the info, try to haggle a good rate)
2. Unofficially discuss location and SPREAD THE WORD MORE (at least 2-3 weeks)
3. Vote on a spot
4. Unofficially discuss date (at least 2 months advance)
5. Vote on a date
6. Lock and load convoy lets' ride!

I'm not at all in charge here, but I do have some event planning experience. I really think we should have a post with DETAILED info on every spot. The economy is bad, yeah, thats all the more reason these place will want this event to be at their park. Then we vote. We are already kind of doing #1 and #2, so lets just do it more efficiently and SPREAD THE WORD. Everytime we do a ride people start posting the day before/after, "Oh dude I wish I would have known." If we decide to split up getting information on parks just let me know. I don't mind taking #1-3. BTW I just said vote place then date and not vice versa, b/c when spreading the word it sounds better. JK-fest at Tellico, date TBD. Not JK-Fest on May 25th...I'm not sure where. Guys in charge, lets start making moves here, let me know.

Great ideas! I'm planning to call around and see what the locations can do for us on the pricing. Distance will be the killer for some due to the amount the will have to spend on fuel and hotels. Camping will be cheaper so that may be an option to offset some of the other expenses.

Selecting a location will come first and then a date, it will be a few months out to allow everyone to save some $$ and plan on taking time off from work!

this is something that 08{GA}RUBICON and i have been thinking about for awhile now and have no motive towards rushing such a project.

i too am down for the camping.
Agreed, however, If we are driving all this way AND camping, it MUST be at LEAST 2 nights to make it worth the while..

I'm wanting a 3 day event, Friday, Saturday and Sunday. Some may even drive on Thursday and stay 3 nights.

Also, don't forget to consider weather conditions for the time we are looking to do this. Can you imagine what Durhamtown would be like if it's the rainy spring time and there are 50+ jeeps out there? Talk about nasty!

On the other hand, if the date gets pushed into the summer timeframe, then perhaps picking a spot at higher elevations (ie north) would be more tolerable from a heat/humidity perspective. Just my $0.02 thrown out there.
